Most pharmacies assume that without a direct integration between MAPflow and their pharmacy management system, they're stuck doing things the slow way: manual data entry, paper shuffling, follow-up calls that never happen.
Here's what most of them don't know: there's already a functioning workflow. It's only two steps, uses tools you already have, and pharmacies are running it today on PMS systems such as Kroll and Propel Rx. No new hardware, no additional cost, no waiting.
Step 1: Get the Patient Into MAPflow
Every assessment starts with a patient profile. You've got three ways to create one.
Option A: Bulk Import From Kroll or Propel Rx
The fastest way to load your existing patient base. Export a CSV from your PMS and import it into MAPflow.
In Kroll: Open the Reports dropdown at the top of the screen and navigate to Reports > Patient > Patient CSV Dump. Save the file when prompted.
In PropelRx: Open the Reports and select “Patient List”. Then export and select “CSV with header”.
Then import into MAPflow:
- From the left-hand menu, select My Pharmacy.
- Select Imported Patients.
- Under Import patients, choose your PMS.
- Select Choose file and upload your CSV.
- Hit Import.
Option B: Let the Patient Do the Typing
Send the patient a secure link by email or SMS and let them fill in their own info on their own time. Fewer transcription errors, less time at the counter.
To invite a patient:
- From the Dashboard, select Patients in the left-hand menu.
- Click Invite Patient.
- Choose Email or SMS, enter the contact details, and hit Invite.
Option C: Manual Entry (Delegate to a Pharmacy Technician or Assistant)
A Pharmacist, Pharmacy Technician, assistant, or student can build the profile before the pharmacist sits down. The pharmacist walks in, the patient is ready, and clinical work starts immediately.
To add a new patient:
- From the Dashboard, select Patients.
- Click Add New Patient.
- Fill in the required fields.
- Hit Add New Patient to save the profile.
Step 2: Send the Documentation Back to Your PMS
This is the step most pharmacies don't know exists, and it's the one that changes everything.
When the assessment is complete, MAPflow automatically generates your prescription and supporting documentation. The Fax to Self feature sends those documents straight to your pharmacy's own fax number, where they land in your PMS if it is set up to receive inbound faxes. Your team processes the Rx like any other fax. No new training, no extra steps, no integration required.
It's the simple version of an integration, and for most pharmacies, it covers everything they need day-to-day.
To use Fax to Self:
- On the service summary page (you'll land here automatically when the assessment is done), select the documents you want to send and press Fax to Self.
- Hit Send.
The Rx is now in your queue, ready to be processed in your PMS as normal.
